Reviewing a receipt and its materials
Extract purchase details, save an expense and separately review stock changes.
Open Expenses and add a purchase. Upload a receipt image to suggest the supplier, date, amounts and line items, or enter the details yourself.
Review the expense first
Check the purchase date, currency, supplier and total against the receipt. Extraction can be incomplete or wrong, particularly with unclear images or unusual layouts. Use a clear image with all the text visible, and correct the suggested values before saving.
Saving the expense creates the financial record. It does not, by itself, add the purchase to your stock. A non-material expense such as postage or a workshop service can remain an expense without an inventory change.
Review each material separately
For material purchases, review the suggested match to an existing material or choose to create one. Similar names are not proof of the right match. Check the base unit and the quantity per package before confirming.
For example, two 5 kg bags contain 10 kg. If each bag costs €40, that is €8 per kg. Package count, package size and purchase price must stay together through the review. Do not convert a bottle to millilitres when its size is unknown, or treat weight as volume without the missing information.
Confirm the material import only after checking the proposed quantity and price. Review other lines independently. A saved expense and a confirmed stock addition are separate results.
Correcting a suggestion
If a purchase is classified as a service but you know it contains a material, open the manual material review and supply the missing details. An empty or uncertain suggestion is not a reason to invent a stock amount.
For an inbox purchase, review and approve the extracted expense before it enters your finance totals. Inventory review remains a separate step afterward.
